This document contains the release notes for the Budget functionality in Expense and Invoice for Concur Professional editions.

Shared

New Bar Graph in Budget Dashboard

Overview

A new bar graph is now available on the Budget Details page of the Budget

Dashboard. This graph shows the status of the budget owner's budget periods over a whole year. Clients can view two bars for each budget period; the budget amount (bar in solid color) and the total spending amount (total spent amount equals part of bar in solid color, total pending amount equals part of bar in stripes) for a specific period in a quarterly or monthly view. The bar showing the total spending amount is composed of the total spent amount and the total pending amount. Clients can also hover over each bar to view budget details of a specific month.

If a budget is based on one full year, the monthly view shows the budget period amount divided by the number of fiscal periods (typically 12 months) to calculate the monthly budget amounts. For the quarterly view, the budget period amount is

multiplied by three to calculate the quarterly budget amount in the chart. The budget consumption (spend and pending) is based on the monthly actuals even for yearly and quarterly budgets.

The table below describes the status of a budget period which clients will see if the hover over a bar in the Charts section of the Spending Trend bar graph.

Budget Status Description

Spent This shows the approved amount that has been spent.

Pending This shows the amount pending approval.

Remaining This shows the amount left to spend. The remaining amount is calculated as budget amount minus spent amount. If the admin has enabled the Include Pending option in Budget Settings, the remaining amount is calculated as budget amount minus spent amount minus pending amount.

Over If the remaining amount becomes negative, the Remaining label is replaced by a red colored Over label which indicates how much has been consumed over the budget amount.

Unexpensed (Expense only) This shows the balance of the expense items that have not yet been submitted.

The unexpensed balance does not affect the bar graph, because it is not substracted from the remaining balance, and, thus, unsubmitted expenses do not consume a budget.

The bar graph colors display in green, yellow, and red, which means the following:

Green: The consumption of the budget is below the budget alert limit (default 80%)

Yellow: The consumption of the budget is at or above the budget alert limit

Red: The consumption is at or above the budget control limit (default 100%) BUSINESS PURPOSE/CLIENT BENEFIT

This feature gives clients a better view of the spending trend of their budgets.

What the Budget Owner Sees

The budget owner will see a new bar graph on the Budget Details page of the Budget Dashboard.

Configuration/Feature Activation

This feature is automatically on. There are no configuration steps.

Block Push and Email Notifications if Budget Period Amount is Zero

Overview

With this release, if a budget period amount is zero (or negative) and an employee submits an expense report or payment request against that specific budget period, the system will not send out any notifications to budget owners that their budget has reached its limit or is over limit.

BUSINESS PURPOSE/CLIENT BENEFIT

This enhancement reduces the number of alerts being sent out and thereby helping clients to concentrate on more urgent notifications.

This feature is automatically on. There are no configuration steps.

Budget Tracking Mapping Field Type Filter Option Removed

Overview

The Disable Budget Tracking Mapping Field Type Filter option in Budget Settings has been removed. This option disabled the ability to filter on budget

tracking mappings field types in the Budget Field Mapping tab (Administration >

Invoice > Budget Configuration (left menu) > Budget Tracking Fields.

Instead, clients will receive more guidance when they want to use filters and the filter behavior will work as follows:

• Connected list budget tracking fields can be mapped to connected and single list fields

• Single list budget tracking fields can be mapped to connected and single list fields

• Free form budget tracking fields can be mapped to connected, single list, and free form (including boolean) fields

BUSINESS PURPOSE/CLIENT BENEFIT

The removal of this feature means that Invoice and Expense will guide the client as they select filters making it easier to choose relevant options for their needs.

What the Admin Sees

The admin will no longer see the Disable Budget Tracking Mapping Field Type Filter option in the Budget Settings tab in the Budget Configuration tool.

Configuration/Feature Activation

There are no configuration steps since this setting has been removed.

Expense

Unexpensed Amounts Now Visible in Expense

Overview

In this release, unexpensed amounts will be visible and included in budget

calculations for Expense clients. Unexpensed amounts enable budget owners to view the balance of the expense items that have not been submitted yet and is a

combination of unsubmitted expense reports and available expenses which are not

attached to an expense report. The unexpensed amounts will show in a new Unexpensed budget bucket in the Budget Dashboard.

Travel bookings and credit card feeds can represent a significant portion of a budget and employees cannot always submit their expense reports within the budget period.

Therefore, it is useful for budget owners, who want to see employee-based spend, such as travel booking and credit card feeds when reviewing their budget, to be presented with a reasonable predictor for the spend during a budget period. Since credit card transactions and billing statements (expense reports with credit card transactions) are counted as paid and spent, these transactions, even unsubmitted ones, will show in the Spent budget bucket in the Budget Dashboard. In addition, the credit card transactions will appear in a new Credit Card tab in the Spent section on the budget details tab of the Budget Dashboard.

Credit card feeds are transmitted once a day during a nightly run (US Pacific Time) and budget will process these feeds shortly after. Since credit card feeds are not provided in real-time, budget cannot process them in real-time either. For now, budget processes all available expenses during that nightly run. Unsubmitted expense reports are processed in real-time the first time they are saved and within ten minutes after the second time they are saved.

This feature gives clients more information about their budget.

In addition, in the Spent section on the Budget Details page, these users will see a new tab, Credit Card.

What the Approver Sees

When the approver clicks on the View Budget link on the Approvals page, they will see the Unexpensed value on the details page.

What the Admin Sees

The admin will see a new setting in the Budget Settings tab of Budget

Configuration. The setting is called Show unsubmitted expenses and has the following three options, which control what users can see in the Budget Dashboard and from the View Budget link in Expense:

• Do not show unsubmitted Expense amounts

• Show unsubmitted Expense Amounts as Pending

• Show unsubmitted Expense Balance

The following table describes the options available for the Show unsubmitted expense setting.

This option is the default value.

Clients might want to select this option when they estimate that less than 80% of the available expenses and unsubmitted expense reports are matched correctly to a budget. Under this threshold, the unexpensed amount becomes less valuable and might be less confusing for the individual budget owners.

NOTE: Available expenses might not have enough information to be matched correctly.

Unsubmitted expense reports can be in various stages from created to fully updated and ready for submission.

Clients might want to select this option when they estimate that 95% or more of the available expenses and unsubmitted expense reports are matched correctly to a budget.

NOTE: Credit card transactions and billing statements will not show in the Pending budget bucket when the admin selects this option.

Instead, these transactions will show in the Spent budget bucket.

Show unsubmitted Expense Balance If the admin selects this option, expenses will show in the unexpensed amount visible in the Budget Dashboard and in the in-transaction view (through the View Budget link).

Clients might want to select this option when they estimate that 80-95% of the available expenses and unsubmitted expense reports are matched correctly to a budget.

NOTE: Credit card transactions and billing statements will not show in the Unexpensed budget bucket when the admin selects this option. Instead, these transactions will show in the Spent budget bucket.

NOTE: If clients have selected the Show unsubmitted Expense Amounts as Pending and the Include Pending options, the remaining amount will have the pending amount and the unexpensed amount (unexpensed plus

unsubmitted).

The second and third option in the table above give budget owners an indication of how they are really spending their budget(s) and what they need to do when planning their budget(s) going forward.

In addition, when the admin has selected one of these options, a new Employee column is enabled in the Budget Field Mapping tab in the Budget Tracking Fields tab of Budget Configuration.

Here budget admins can map employee cost objects to budget tracking fields when they define budgets.

The Employee column has two sub columns, Mapping Type and Mapping Value.

The Mapping Type column has the values listed in the table below.

Mapping Type Values Description

None If you select the None option, the Mapping Value field shows None and becomes a read-only field, which means no mapping is defined.

Field Mapping If you select the Field Mapping option, the Mapping Value field shows a list where you can select a mapping (field), such as a custom or organization value (derived from the employee file).

Value Mapping If you select the Value Mapping option, the Mapping Value field shows a field in which you can type a fixed value for the budget tracking of the employee-based expenses. The Value Mapping option is useful when the budget tracking field does not exist in the employee file, but a reasonable default value can be provided which would cover most expenses. For example, type No for the Is For Training Purposes budget tracking field to direct an expense to non-training budgets.

Mapping Type Values Description

Any Value If you select the Any Value option, the Mapping Value field does not show any value and becomes a read-only field. A virtual mapping is defined which matches to any budget item (from the Value column of the Budget Tracking Field (Optional) tab.

NOTE: The Any Value does not block the employee-based expenses from being captured by a budget, because the field does not exist in the employee file and the system will use the value in Budget Items.

Since the budget tracking field, for example, Project does not exist in the employee file, the Any Value option provides a way to capture available expenses without defining a specific default value. However, the budget tracking field filter will be applied when the available expense becomes an expense item on the report and the employee is able enter the additional data.

Configuration/Feature Activation

For this feature to work, budget capture needs to be enabled for Expense in Budget Settings.

Invoice

New Purchase Request Commit Option in Budget Settings

Overview

With this release, it is now possible for a purchase request to be marked as spent when the processor approves it. The purchase request will remain marked as spent until it has been matched to an invoice. This means that the system acknowledges the pre-authorization approval as final approval.

Admins will need to select (enable) the new Mark Purchase Requests as spent after processor approval option on the Budget Settings page.

Invoice > Budget Configuration (left menu), and then clicking the Budget Settings tab.

Overview

With this release, the Budget Approver role is relabeled to Budget

Currencies No Longer Editable in Budget Items

Overview

The Currency list is no longer editable, if the budget item is associated with a spending item, in the Modify Budget Item window of Budget Items. The reason for this change is that if an admin changed the currency, the balance was not

recalculated and, thereby, showed the incorrect amount.

BUSINESS PURPOSE /CLIENT BENEFIT

This enhancement will provide clients with the correct currency amount.

What the Admin Sees

The admin will see that the Currency list in the Modify Budget Item window of Budget Items is now a read-only list.

Configuration / Feature Activation

This feature is automatically on. There are no configuration steps.

New Explanatory Text in Budget Items

Overview

When clients add or modify a budget item, they will now be able to view explanatory text for some fields by clicking a question mark icon next to the Budget Name, Budget Display Name, and Budget Owner fields.

BUSINESS PURPOSE /CLIENT BENEFIT

This enhancement will provide clients with quick and easy information about the field in which they will enter information.

What the Admin Sees

The admin will see a new icon next to the Budget Name, Budget Display Name, and Budget Owner fields in the Add Budget Item and Modify Budget Item windows.

New Early Access Feature for Outdated Data

Overview

SAP Concur has a new feature, Data Retention, that allows clients to control how long the Concur solution stores their data based on who, when, and where criteria. A new shared role, Data Retention Administrator, has been created in the system and is required for accessing this feature.

The feature provides the following functionality:

• Allows a company to set a specific amount of calendar time after which data such as old user profiles, itineraries, and expense reports will be removed

• Provides for strict access to policy configuration with an email notification

• Includes the ability to place a hold on a specific user whose data will be excluded by this feature when it is necessary or desirable to retain older data

• Includes the ability to remove the data of a specific user independent of the company-wide data retention configuration

This document contains the release notes for the Budget functionality in Expense, Invoice, and Request for Concur Professional Edition.

All Products

Budget Adjustments Now Available

Overview

SAP Concur has added the ability to adjust budget items. Budget items may be adjusted by the Budget Administrator, either manually or by importing a spreadsheet of adjustments. The adjustments can be made to the total budget amount, the Spent amount, or the Pending amount. Adjustments allow the client to retain the original budget amounts, while accounting for changes throughout the fiscal year.

The adjustment includes the following information:

Type: The source of the budget adjustment. Values are Budget Balance, Fund Transfer, Expense, Payment Request, Purchase Request, or Request.

Amount Type: Where the amount should be applied. Values are Budget Amount, Spent Amount, Pending Amount.

Description: The reason for or description of the adjustment.

Amount: The adjustment amount.

Budget Period: The budget period to apply the adjustment to. Can be any Open period in the fiscal year of the budget item.

Transaction Date: The date the adjustment is applied to the budget. Must be within the specified budget period.

Budget adjustments account for expenses or budget changes that happen outside of SAP Concur systems, and provide detail about why the changes were made.

Overview

SAP Concur has added a new Budget Type field on the Add Budget Item / Modify Budget Item pages. This field allows the Budget admin to mark a budget as

Personal Use, or as Budget (default). The Personal Use budget type supports budgets that are associated to one person, for education, entitlements, or other benefits. The personal budgets are limited to Request and Expense spending items. The spending items will match the personal budget if the budget owner and spending item

requestor are the same, and the other matching configured in Budget Items is met.

BUSINESS PURPOSE/CLIENT BENEFIT

This enhancement provides support for personal budgets that are used by higher education, healthcare, public sector verticals, or companies providing entitlements for employees.

End of TLS 1.0 Email – Targeted for Wednesday, June 27, 2018

In 2017, SAP Concur announced that it was ending support for version 1.0 of the TLS encryption protocol.

Be aware that – targeted for Wednesday June 27, 2018 – SAP Concur will disable the ability to accept incoming email via TLS 1.0 connectivity for

[email protected] and [email protected].

There should be very little customer impact since the vast majority of customers have already disabled the ability to send email via TLS 1.0.

**Reminder** Whitelist for TrustArc.com

Overview

The May release notes included an item named New Cookie Preferences Link in the SAP Concur Footer. It describes cookie-related process changes that were introduced in the May 12 release because of specific consent regulations in Europe.

To ensure that SAP Concur properly responds to the regulations, SAP Concur has enlisted the assistance of TrustArc, a global privacy and data governance provider.

Please ensure that your organization's IT (or similar) department adds TrustArc to its whitelist, so TrustArc can properly monitor and manage these processes.

TrustArc must be whitelisted by domain – not IP – since the IP is variable.Please whitelist these domains:

• trustarc.com

• prefmgr-cookie.truste-svc.net

!

IMPORTANT: Be aware that if TrustArc is not whitelisted, then it cannot present the required page to obtain the user's permission to accept cookies. That means that if a user's geolocation is France, Germany, or the Netherlands, the user may not be able to access concursolutions.com.

Whitelisting ensures that TrustArc has the proper access to manage consent regulations on behalf of SAP Concur.

**Reminder** New Cookie Consent Process

Overview

Europe has very specific user-consent requirements for cookies. There are two types of consent when allowing cookies to be saved on the user's computer. As described on the following pages, each country decides which option to use. The options are:

Active consent: The user actively agrees to allow cookies. In this case, SAP Concur is required to obtain user consent before saving any cookies on a user's computer.

Passive consent: The user does not disallow cookies.

Each country decides which option it wants to use.

This release note discusses consent for and modification of cookies. Note the following:

• TrustArc, a global privacy and data governance provider, manages the cookie preference choice of each user for SAP Concur. Several consent options are described on the following pages.

Be aware the TrustArc provides all consent text and manages all

translations of the consent text. Neither SAP Concur nor its customers can affect the text or translation in any way.

Consent regulations differ by country. TrustArc determines the consent option that is appropriate for each user, based on each country's

regulations. SAP Concur cannot affect that determination in any way nor does SAP Concur have a list of countries and their consent regulations.

• Be aware that any country at any time can decide to require active user consent. So, specific countries are not listed in this release note because the affected countries can change often and quickly.

• SAP Concur uses geolocation – based on the user's IP address – to identify the user's location (country), which determines if user consent is active or passive. Be aware that if the user is using VPN, then geolocation will likely identify the user's country as the country associated with the VPN.

• In accordance with regulations, the consent and modification processes described here must be completed by individual SAP Concur users. There is no option for companies to make these choices for their users.

• Once a user has actively accepted cookies, they cannot modify their cookies options to stop accepting cookies except to remove all cookies and start over.

BUSINESS PURPOSE/CLIENT BENEFIT

These changes keep SAP Concur in compliance with global privacy requirements.

What the User Sees

As noted above, each country decides how cookies are handled. For example, currently Germany, France, and the Netherlands require active consent. In these countries, SAP Concur cannot save cookies – of any type – without user consent. In fact, a user cannot even access SAP Concur without first being presented the option to accept cookies.
