Budget Item Send to Excel Functionality Changed

Overview

Clients who use the Send to Excel functionality in Budget Items will now see that the filter for fiscal year is honored, so that only those budgets for the selected fiscal year are sent to excel instead of all budgets.

BUSINESS PURPOSE/CLIENT BENEFIT

This enhancement provides more relevant information for the clients when they export data.

Configuration / Feature Activation

This change is automatically available; there are no additional configuration or activation steps.



Overview

SAP Concur will be releasing the Budget v4 API for partner and client use in a future release. Budget v4 provides the following features:

• Fiscal Calendar: This API can GET, POST, and DELETE fiscal years and periods similar to the Fiscal Calendar UI in Budget Configuration.

• Budget Category: This API can GET, POST, and DELETE budget categories, and GET all expense types of a budget category.

• Budget Items: This API can GET, POST, and DELETE budget items including details such as period amounts, budget item tracking fields (cost objects), budget viewers, managers, and approvers.

• Budget Tracking Field: This API can GET all budget tracking fields.

• Budget Adjustment: This API can POST budget adjustments.

• Global availability: Budget v4 API is supported in all SAP Concur data centers.

This new budget API enables clients (and partners) to integrate Budget with their ERP and HR systems to automate budget configuration and maintenance as well as importing external transactions not captured via SAP Concur through budget adjustments.

Adding Adjustments Now Available for Budget Owners

Overview

To give budget owners more control over their budgets and to make budget admins work more efficiently, SAP Concur now enables budget owners to add adjustments to their own budgets from the Budget Dashboard.

This feature gives budget owners more control over their budgets by enabling them to make budget adjustments.

What the Admin Sees

The budget administrator will see a new option, Enable Budget Owner Adjustments, in Budget Settings of the Budget Configuration area.

Budget Approval Routing Behavior Changed (Jan 18, 2020)

Overview

Previously for Budget, the budget approver step was skipped if an approver had already approved a budget. With the January release, an approval routing option controls whether a budget approver step is skipped or not.

If the admin selects the Include Budget Approver checkbox on the Approval Routing page, the budget approver step is skipped, but if the option is not selected, then the step is not skipped.

NOTE: This feature was released in the January 2020 release.

This enhancement gives clients more choice and control of the budget approval routing process.

Admins need to select (enable) the Include Budget Approver option in Expense &

Invoice Settings.



To select (enable) the Include Budget Approver option:

1. Click Administration > Expense & Invoice Settings, Expense Settings, or Invoice Settings.

2. In the Product list, click Invoice or Expense.

3. Click Invoice Approvals, Purchase Request Approval, or Expense Approvals. The Approval Routing page appears.

4. Select the Include Budget Approver checkbox and then click Save. The image shows the Approval Routing page for Concur Expense.



Overview

In a future release, audit trails will be available for Budget. Audit trails provides information about actions that the budget owner and the admin have taken on a specific budget item.

The Audit Trail feature gives clients visibility into edits that have been done and settings that have been changed.

What the User Sees

The Budget Owner will see an audit trail option in an opened budget in the Budget Dashboard.

What the Admin Sees

The admin will see an audit trail option in Budget Items of the Budget Configuration area.

Overview

With this release, admins will only need to have the Budget Administrator role to access Budget Configuration. No additional role is required.

This enhancement removes the need to give budget administrators additional admin role area access when all they need is the budget administration area access.

Audit Trails for Budget Now Available

Overview

Audit Trails are now available for Budget. Audit Trails provide information about actions that the Budget Owner and the Budget Administrator have taken on a specific budget item.

Modified Home Page Appears When Some Products and Services Are Unavailable (Late March)

Overview

Targeted for late March, when a user signs into SAP Concur, if some products or services are unavailable while other products and services are up and running, a modified version of the user’s Home page appears, providing access to the products and services that are up and running.

Prior to implementing this improvement, if a user attempted to sign in to SAP Concur when one or more products or services was not available, a 503 (service unavailable) message appeared, the user’s Home page could not be accessed, and the user had to wait until all services and products were available before signing in to SAP Concur.

NOTE: The products and services that appear on a user’s Home page are specific to the user and they might differ from user to user.

This enhancement enables users to complete tasks that rely on the products and services that are up and running even when other products and services might be unavailable.

When the user signs in, SAP Concur determines which products and services are available to the user. If any products and services are unavailable, SAP Concur presents the user with a modified Home page that includes tiles for each of the available services and a message indicating that one or more products or services are currently unavailable.

Budget v4 API Now Available

Overview

Last week SAP Concur released the Budget v4 API. Budget v4 provides the following features:

• Budget Tracking Field: This API can GET all budget tracking fields configured in the system so they can be referenced when posting a budget item with tracking field values.

NOTE: The Budget API is currently only available to Web Services clients. Partners wishing to become early access participants, should contact their SAP Concur representative.

The new Budget API enables users to integrate Budget with their ERP and HR systems to automate budget configuration and maintenance as well as importing external transactions not captured via SAP Concur through budget adjustments.

The Budget v4 API is available to SAP Concur users. For more information, refer to the SAP Concur Developer Portal.

Change logs will soon be available for budget administrators. This means that budget administrators will be able to see who added, modified, or deleted budget records, and who changed company budget configuration settings.

Budget admins will be able to search on change logs by defining the following criteria:

• Budgets (overall budget changes) or Settings (changes in Budget Settings)

• Start and end date

• Who modified the budget or budget setting

• Description

This enhancement provides budget administrators with the ability to see the change log for budget configuration values as well as budget setting changes.

The Budget Administrator sees a Change Log link in the More menu of Budget Items.

Clicking this link opens a Change Log window where admins can search and see what and when the budget configuration and budget settings were set or changed.
