File Transfer Updates: Ongoing SAP Concur Legacy File Move Migration

Overview

This release note is intended for the technical staff responsible for file transmissions with SAP Concur. For our customers and vendors participating in data exchange, SAP Concur is maintaining our file transfer subsystem to provide greater security for those file transfers.

SAP Concur is in the process of migrating entities that currently use a legacy process for moving files to a more efficient and secure file routing process that relies on APIs.

Clients whose entities are currently configured to use the legacy process will be migrated to the more efficient process sometime between now and July 31, 2021.

After they are migrated to the more efficient process, clients will see the following improvement:

• With the legacy process, clients had to wait for the file move schedule to run at a specified time. With the more efficient and secure API-based process, extracts and other outbound files from SAP Concur will be available within the existing overnight processing period shortly after the files are created.

This announcement pertains to the following file transfer DNS endpoints:

These changes provide greater security and efficiency for file transfers.

File Transfer Updates: Rotating PGP Key Available for File Transfers (January 15)

Overview

Files transferred to SAP Concur solutions must be encrypted with the SAP Concur public PGP key, concursolutionsrotate.asc.

concursolutionsrotate.asc

 Key file is available in client’s root folder

 RSA 4096-bit signing and encryption subkey

 Key expires every 2 years

 Client is responsible for replacing the key before it expires

• Next expiry date: September 4, 2022

• SAP Concur plans to replace the current rotating public PGP key in the client’s root folder 90 days before the expiration date

The SAP Concur legacy PGP key remains supported for existing clients but will be deprecated in the future.

SAP Concur strongly recommends that clients use the more secure rotating public PGP key for file transfers. To facilitate the use of the more secure rotating public PGP key for file transfers, SAP Concur added the key to existing client’s home folders on Friday, January 15, 2021.

BUSINESS PURPOSE /CLIENT BENEFIT

The rotating public PGP key provides greater security for file transfers.

What the Administrator Sees

An administrator with the required FTP credentials can log into the FTP site to retrieve the rotating public PGP key, concursolutionsrotate.asc, from the root directory.

Your internal FTP administrator can add the key to their PGP keyring and start using it to encrypt any files being transferred to SAP Concur.

Other Changes

Planned Changes Update to IBM Cognos Version 11

Overview

Analysis and Intelligence are powered by IBM® Cognos®. Cognos will be updated to v11 for Analysis and Intelligence.

This update will bring some enhancements to Analysis and Intelligence, such as the following:

• Enhancements to the user interface (UI):

 More modern looking interface

 Instead of hovering over actions such as ‘run a report’, ‘schedule a report’, and more menu items, they can be found with just a right click.

• Existing Report Studio will be renamed to Report in Cognos v11

 Includes data element searching within the Concur Data Warehouse Model NOTE: Standard Reports and existing data elements offered within the Concur Data

Warehouse Model will remain unchanged.

Additional information will be available in future release notes.

Update Schedule

The Cognos v11 update will be implemented by pre-designated groups of clients.

More information about communications and timing will be released closer to the update. We plan to update the Analysis/Intelligence UI automatically for each customer over a weekend.

We are updating by entity; customers with multiple entities or test sites may have different update timeframes across all their sites. More information will be provided in future release notes, and you will also receive a 30-day notification before we update your solution.

Due to technical reasons, we are not able to schedule any specific customer’s update; the dates will be pre-determined, and customers cannot move to Cognos v11 earlier or later.

In advance of this update, we are launching an early adopter program. This is not open for other customers to join, but it provides an opportunity for us to prepare for the full update.

Overview

The default German benefit-in-kind (BIK) deduction rates used by the Germany – BIK Report are now updated to the 2021 German BIK deduction rates in euros.

• The default BIK amount for Breakfast is €1.83

• The default BIK amount for Lunch is €3.47

• The default BIK amount for Dinner is €3.47

The Germany – BIK Report is available to Analysis and Intelligence clients in the German market.

New Report: Germany – M-Report Detail (TAS) (German Market Specific Report)

Overview

The Germany – M-Report Detail (TAS) report is a new version of the existing Germany – M-Report Detail report that is specifically designed to only provide data from the new Travel Allowance Service (TAS).

The Germany – M-Report Details (TAS) is available to Analysis and Intelligence clients in the German market.

NOTE: The Travel Allowance Service is a limited availability feature that is only available in the NextGen UI. The classic Travel Allowance feature remains available to all clients.

For general information about travel allowance solutions, refer to the Travel Allowance (classic) and Travel Allowance Service (NextGen UI) guides.

German companies must print an "M" in the certificate of wage tax deduction if an employee has received any payment for a meal.

The Germany – M-Report Detail (TAS) report lists all German employees (where the Employee Country = Germany) who – at least once in a calendar year – received a reimbursement for the meal type in German "Auswärtstätigkeit" (in English "external activity").

The Germany – M-Report Detail (TAS) report contains a listing of all the individual instances of travel allowances with External Activity meals entered that also have corresponding expenses, along with the corresponding expense information.

Overview

Additional event groupings and events are now added to the Mobile Metrics Details report. The Mobile Metrics Details report displays the Concur Expense, Concur Invoice, Concur Travel, and logon actions taken by employees over a given time frame through each employee's SAP Concur mobile app. The report now includes metrics for the following events:

NOTE: The SAP Concur mobile app version you are currently using determines which event data is available to you on the Mobile Metrics Details report. Event data for all of the events on the Mobile Metrics Details report is available on the latest version of the SAP Concur mobile app. If you are using an older version of the SAP Concur mobile app, some of the event data may not be available on the Mobile Metrics Details report. We recommend users have the latest version of the SAP Concur mobile app installed on their mobile device.

What the User Sees

On the Prompts page, the Invoice and Logon check boxes are now available for selection in the Event Groupings prompt.

When the Invoice check box is selected, the ApprovedInvoice and RejectedInvoice events are available for selection in the Events prompt list.

When the Logon check box is selected, the LoggedIn event is available for selection in the Events prompt list.

There are five additional events now available for Concur Expense. When the Expense check box is selected, the AddedExpenseToReport,

AssociatedReceiptWithReport, CreatedQuickExpense, EditedQuickExpense, and UploadedMobileStandaloneReceipt events are now available for selection in the Events prompt list.

There are three additional events now available for Concur Travel. When the Travel check box is selected, the BookedAir, BookedCar, and BookedRail events are now available for selection in the Events prompt list.

When an event is selected in the Events prompt on the Prompts page, the column associated with the event is displayed and populated on the report.
