2. Application Steps

① Be formally nominated as a prospective exchange student by your home university.

② Make sure which exchange program of Osaka U you will apply. Check language requirements of each program. Consult your exchange coordinator if you have a doubt.

③ Receive the application form of the relevant program and the password to it through your exchange coordinator at the international student exchange office of your home university.

④ Type the form and prepare all documents as per required. (For the required documents, please refer to Section 3.)Save the PDF onto your computer etc. with Adobe Acrobat Reader 8 of higher. https://get.adobe.com/reader

If the PDF form does not work well on a PC or Mac, we recommend you try the form with the latest version of Acrobat Reader on Windows 7 or 8.

⑤ Print off the typed application form and sign after checking the information is complete and accurate. Submit it to your exchange coordinator along with all supporting documents.

After checking your documents, your coordinator will send your documents and other nominees’ to Osaka University by post.

⑥ In the meantime, submit the filled PDF application form (③) in an email attachment. Please do not scan the PDF with a scanner or camera. Signature and photograph, coordinator’s information (if hand-written) are not required in this email submission.

3. Required documents

3-1. A completed application form

When you are sure which exchange program of Osaka University you will apply, please download the appropriate application from the Osaka University’s web site. There are three type of application forms, iExPO, OUSSEP, & FrontierLab – please make sure to use the right one for you!

Applicants for FrontierLab should attach a filled Research preference questionnaire to their application. Please make sure the filled application form is submitted in TWO WAYS.

(1) Please hand in a printed-off and signed original application form together with all required

documents to your exchange coordinator at home university. (Please ask your coordinator to fill and sign on the coordinator’s section.)

(2) Please e-mail the completed typed PDF application form, without printing off and scanning, to: exchange<at>ciee.osaka-u.ac.jp *Please replace <at> to @.

Notes on e-mail submission

Please do not scan the typed application form when you submit by email. Application which was scanned or photographed (in PDF/JPEG) will not be accepted. Signature and scanned supporting documents (3-2, 3-3, 3-4) are NOT required in this initial e-mail submission.

3-2. Two reference letters

Reference letters should be provided by two faculty members of your home university who know you well. It should be a letter-headed reference and written in English or Japanese. If it is written in other

languages, an English or Japanese translation must be attached (in university’s letter-headed paper).

3-3. Latest academic transcripts

Please submit a copy of latest official academic transcripts in English. The documents should include enrollment year, program, course titles with grade and number of credit hours, issue date and course grading details. If the grades of your current degree program have not been released, please submit the previous degree’s transcripts. Should it be written in other languages, please attach an English or Japanese translation.

3-4. A copy of language proficiency test results or certification letter

Please provide us an appropriate language test results, or alternatively a formal certification letter provided by home institution that shows you are a competent English or Japanese user equivalent to the required test score in each program. Please see the table below.

If you are from a majority English-speaking country or your university is in these countries, you will have the English proficiency certificate waived.

3-5. Nomination form

This form will be filled by the coordinator. Students do not have to prepare this document themselves.

Note: ’Certificate of enrollment’ is not a prerequisite if your coordinator send us the nomination form.

4. Decision notification and what’s next?

The notification of decision will be sent to the coordinator or international student exchange office of student’s home institution by email and post on December 26, 2014. Successful candidates will receive pre-arrival information from Osaka University by email/web link. Then you will have to get started with your financial declaration and supporting documents, application for the immigration paper (‘Certificate of Eligibility of Status of Residence’ for non-Japanese citizens), university accommodation booking and offer acceptance procedures following the instructions in the guide.

5. University accommodation

On admission notification, you will get detailed accommodation information and request from. There are several halls of residence in Osaka University. Apart from a few properties, most of residence halls are off-campus and therefore, students will have to commute to their campus by monorail, bus etc. The rent/utilities are typically c.150,000 to c.350.000 Japanese yen depending on the dormitory. Although exchange students are prioritized in accommodation allocation, we cannot accept you request to book a specific accommodation or change the assigned dormitory to another due to the shortage of university accommodation.

6. Scholarship opportunities

There are a few scholarship awards available for exchange students at Osaka University. However, application is not open for April 2015. If you wish to be considered for any scholarship offered by Osaka, your application will be reviewed when a scholarship opportunities for the year 2015 comes up. There will be no scholarship application opportunities for exchange students after enrollment.

1. 応募スケジュール

2. 応募手順

① 交換留学生として在籍大学(協定校)の正式な承認・推薦を受ける。 ② 自分が大阪大学のどの交換留学プログラムに応募するかよく確かめる。各プログラムの語学要件を 参照し、不明なことは在籍大学の交換留学コーディネーターに相談すること。 ③ 在籍大学の国際交流担当部署の交換留学コーディネーターから、応募するプログラムの申請書とパ スワードをもらう。 ④ 入力可能なPDF 申請書をパソコンで入力し必要書類をそろえる。 (必要書類については 3.を参照。)

申請書のPDF フォームは Adobe Acrobat Reader 8 あるいはそれ以降のバージョンで保存でき

ます。 https://get.adobe.com/reader *もしPDF フォーム入力や保存がうまくいかない場合は、最新バージョンの Acrobat Reader を入 れたWindows 7 あるいは 8 のパソコンで試してみてください。 ⑤ 入力内容が正しいか、入力漏れがないかどうかを確認したら、申請フォームを印刷し、署名の上、 在籍大学の交換留学コーディネーターにほかの必要書類とあわせて提出すること。(コーディネー ターは書類の内容を確認して、ほかの申請者の書類と一緒に大阪大学に郵送します。) ⑥ 印刷した申請書等をコーディネーターに提出するのと同時に、入力した Adobe PDF フォーム (③) をメール添付で大阪大学に送る。入力した申請書はそのまま添付し、印刷・スキャナーでスキャン 連絡先 Osaka University

3. 必要書類

3-1. すべて記入した申請書

大阪大学のどの交換留学プログラムに申請するか決まっていたら、自分のプログラムの申請書をダウン

ロードしてください。4 月入学のプログラムは、iExPO, OUSSEP, FrontierLab の 3 つです。申請するプ

ログラムを間違えないようにしてください。

FrontierLab に応募する人は研究分野に関するアンケート Research preference questionnaire も記入し、 申請書類に添えてください。

申請書PDF は必ず下の(1)と(2)の二通りの方法で提出するようにしてください・

(1) 入力し印刷した申請書に署名し、ほかの必要書類と一緒に在籍大学のコーディネーターに提出してく

ださい。 (コーディネーターの記入欄はコーディネーターに記入してもらってください。)

(2) 入力・保存済みの PDF の申請書を印刷・スキャンをしないで、メール添付で送ってください。(学 生本人から大阪大学のアドレスへ) to: exchange<at>ciee.osaka-u.ac.jp *Please replace <at> to @.

メールによる申請書提出について 入力したPDF はそのまま保存し、印刷・スキャンをしないで送ってください。紙をスキャンしたファイ ル(PDF や JPEG)を送らないでください。申請書以外の添付書類 (3-2, 3-3, 3-4) や署名は、このメー ルによる申請書提出では必要ありません。

3-2. 推薦状二通

在籍大学の2名の大学教員からそれぞれ推薦状をもらってください。大学レターヘッドの用紙に英語ま たは日本語で作成してもらってください。万一日本語・英語以外で書かれている場合は、英訳または日 本語訳を(大学レターヘッドの用紙で)添付してください。

3-3. 直近の成績証明書

. 直近の成績証明書(英語で書かれたもの)を提出してください。入学年、学位課程、科目名、それぞ れの科目の成績評価と単位数、発行年月日と評価システムが記載されているものが必要です。もし現在 の学位課程の成績が出ていないなら、前の課程の最終成績表を提出してください。英語以外で書かれて いる場合は英語か日本語の翻訳を添付してください。

3-4. 語学テストのスコアまたは証明書

あなたがプログラムあるいは大阪大学で所属する学部や研究科で要求される言語の語学スキルが十分あ ることを示すテスト結果や公式な証明レターを提出してください。英語圏の出身あるいは英語圏の大学 在籍中の学生は英語の証明書を提出する必要はありません。

4. 結果通知とその後

合否の通知はあなたの在籍大学の国際交流担当部署の交換留学コーディネーターにメールと郵便で2014 年12 月 26 日に通知します。合格した学生は大阪大学から直接メールでプレアライバルの手続案内のリ ンクを受け取ります。手続案内を受け取ったらすぐに、留学費用の経費支弁計画書とそれに対応する財 政証明書類、査証取得に必要な入国管理局の書類(在留資格認定証明書)の申請の準備、大学宿舎の申 し込みや入学手続きをはじめなければなりません。

5. 奨学金応募

大阪大学の交換留学生が応募できる奨学金はいくつかありますが、2015 年 4 月入学分はまだ募集開始さ れていません。もし大阪大学を通じて受給する奨学金に応募したい場合、4 月入学分の募集があり次第、 交換留学申請書をもって採否の審査をします。来日・入学後に交換留学生が応募できる奨学金はありま せん。
