Guideline for Grantees

1. Responsibilities of the grantee

The grantee is required to do the following:

1) Submit the “Bank account of grantee” to our secretariat office by e-mail.

2) Submit the receipt form within one week after receiving the fund. The first payment of the grant will be made in October 2016. The second payment will be made in April 2017. If you are unable to check your bank account in those months, please inform your recommender and the Pro Natura Foundation Japan.

3) Submit an interim report describing the progress of the research by the end of March 2017. The payment of the grant will not be made until the grantee submits the interim report.

4) Submit final project reports and accounting reports to the Pro Natura Foundation following completion of project by the end of October 2017. The applicant should submit original receipts for the account report. If there are any difficulties, please inform your recommender and the Pro Natura Foundation Japan.

The applicant who fails to fulfill the above responsibilities may be asked to return the grant.

2. Responsibilities of the recommender

The recommender is required to be a mediator between the applicant and the Pro Natura Foundation Japan. All communication should be done through the recommender. If the recommender does not carry out his/her obligations the Pro Natura Foundation Japan will ask you to return the grant. The recommender is required to: 1) To advise and monitor the progress of the project, assure proper accounting as well as the completion of the project.

2) In the case of unforeseen accidents in the field, the recommender is responsible for the communication between the researchers, authorities concerned, and the Pro Natura Foundation Japan.

3) If a visit to Japan is included in the project, the recommender is responsible for preparing transportation and accommodation for the visitors.

4) Submit comments on the interim report and translated summary of the final report. The recommender who fails to fulfill the above obligations may be asked to return the grant.

3. The Pro Natura Foundation requires the following documents

3-1. From the recommender: 1) Contract (Form 1)

3-2. From the recommender (following submission of documents by applicant): 1) Advise for transfer of fund (Form 2)

2) Opinion regarding interim report (Form 3) 3) Translated summary of the final report (Form 4)

3-3. From the grantee directly to the Pro Natura Foundation Japan: 1) BANK ACCOUNT of Grantee

2) RECEIPT 1 3) RECEIPT 2

3-4. From the grantee via the recommender: 1) Interim report

2) Final report

10 pages including 200-word summary and pictures of the actual fieldwork are required. Please take into account that these documents are to be the original copies for the 27th Pro Natura Foundation Grant Reports; the tables / figures are to be printed in black and white, and the report is to be written in an essay format.

3) Account report

Original receipts should be attached to the account report.

The documents from the recommender are available as foms1-3. There is no set format for the reports from the applicant except for RECEIPT 1 and 2. The Pro Natura Foundation Japan will send these forms with the “Guideline for grantees” by post as well as e-mail.

4. Receiving the grant

4-1. The Pro Natura Foundation Japan send the contract form (Form 1) to the recommender. This Form 1 should be signed and returned by October 31th.

The grant will be remitted in two payments. The recommender notes any concerns regarding local financial circumstances on Form 2 (Advise for transfer of fund). The deadline for this form is also the end of October. The first portion of the grant will be remitted after the research grant contract is completed in November. The second portion will be remitted after the recommender receives the interim report in March- April. The grant will be sent directly to the applicant’s bank account from the Pro Natura Foundation Japan.

4-2. The interim report should be submitted to the recommender by the end of March. The recommender fills in Form 3 (Opinion regarding interim report) and submits it with the interim report to the Pro Natura Foundation as soon as possible. The second portion of the grant will be transferred after the all interim reports have been submitted to the recommenders. Therefore, please make sure to submit the interim report by the end of March to the recommender.

4-3. The final report and account report should be submitted to the recommender by the end of October 2017. The recommender fills in Form 4 (Translated summary of the final report) and submits it with the reports to the Pro Natura Foundation by the end of November. Original receipts should be attached to the account report which should be completed in accordance with the information submitted at the time of application.

5. Other

The result presentation will be held in Tokyo in November or December 2017. Either the grantee or the recommender will give a presentation. The Pro Natura Foundation Japan will not provide the international travel expense, but round-trip fare between airport and the presentation venue, and one-night accommodation fee. If the recommender gives presentation, he/she prepares the presentation materials with the grantee. The details will be announced later on.

Please inform your recommender if any problems occur, especially if they pertain to the use of grant.

Please inform your recommender and the Pro Natura Foundation immediately if your address, e-mail or phone number has changed.
